You will be inside every important conversation, every meeting, every decision flow. You will represent the CEO credibly when he is not in the room. You will know enough about the formation to act with judgment — not just instruction.
The right person for this role is not a junior administrator. She is organised, discreet, fast, and genuinely understands institutional complexity.
- Manage the CEO's schedule, priorities, and commitments across all brands, institutional systems, and external relationships.
- Coordinate between the CEO and the executive team — COO, CFO, CTO — ensuring information flows correctly and decisions are executed.
- Prepare the CEO for every meeting — briefings, context, relevant documents, and follow-up actions.
- Manage investor, partner, and executive correspondence on behalf of the CEO with the discretion and accuracy the role demands.
- Track decisions, commitments, and action items across the formation — ensuring nothing falls through the gaps.
- Handle travel, logistics, and operational coordination across Miami and international engagements.
- Experience as an EA or PA at senior executive level — CEO, Managing Director, or equivalent.
- Exceptional organisational capability — you manage complexity without losing the detail.
- Discretion at the level that institutional access demands. You will be inside conversations that cannot leave the room.
- Fast, accurate, and calm under pressure. The formation moves quickly. You move with it.
- Strong written English — you communicate on behalf of the CEO and the quality must match.
- Proactive by nature — you anticipate what is needed before being asked.
- Based in Miami, Florida. This is a fully on-site role.
